Privacy Policy
Last updated: September 2026
Coast Academy ("Coast", "we", "us") respects your privacy. This policy explains what personal information we collect through this website and our Coast Rugby, Coast Care Rugby and Coast Foundation programmes, how we use and store it, and how you can contact us about it.
Even where a small business exemption under the Privacy Act 1988 (Cth) may apply to us, we aim to handle personal information in line with the Australian Privacy Principles (APPs) as a matter of good practice.
Information we collect
Depending on how you interact with us, we may collect:
- Enquiry form details — name, email address, phone number, organisation/school/care home, what you're interested in, and your message, when you submit the contact form on this site.
- Programme and enrolment information — details provided by a parent, guardian, school or care facility when registering a child or participant for a session, such as participant name, age or year level, and relevant health or emergency contact information.
- Correspondence — anything you send us by email, phone or in person, including any follow-up communications.
We do not knowingly collect personal information directly from children through this website. Where a programme involves children, information is provided to us by a parent, guardian or school.
How we use your information
We use personal information to:
- respond to enquiries and bookings;
- plan, deliver and supervise Coast Rugby, Coast Care Rugby and Coast Foundation sessions safely, including managing any relevant health, medical or access needs disclosed to us;
- communicate with parents, guardians, schools and care partners about programmes;
- administer donations, sponsorships and partnership enquiries for the Coast Foundation; and
- meet our legal, insurance and safeguarding obligations.
We do not sell personal information, and we do not use it for unrelated marketing without your consent.
Photos and video
We may take photos or video during sessions, school visits, care home visits and community events for use on this website, in print materials or on social media. Where participants are children or residents of a care facility, we seek separate, specific consent (for example, on an enrolment or facility agreement) before using identifiable images. You can withdraw that consent at any time by contacting us, and we will remove future use of the relevant image where reasonably practicable.
Coast Care Rugby and partner facilities
When we deliver sessions in a care home, school or other facility, the facility is generally responsible for the personal information of its own residents, students or clients under its own privacy arrangements. We only collect and use the minimum information necessary to plan and safely deliver each session (for example, participant numbers, relevant mobility or safety notes, and session feedback).
Who we share information with
We may share personal information with:
- our coaches and staff, on a need-to-know basis, to deliver programmes safely;
- service providers who help us run this website and communicate with you, such as our website hosting provider and email delivery provider, who only process information on our instructions; and
- government bodies, insurers or regulators where required by law or necessary to respond to a safety or welfare concern.
We do not send personal information overseas as a matter of course.
Cookies and analytics
This website does not currently use tracking cookies or analytics software. If that changes in the future (for example, to understand how visitors use the site), we will update this policy accordingly.
Data security and retention
We take reasonable steps to protect personal information from misuse, loss and unauthorised access. We keep personal information only for as long as it is needed for the purpose it was collected, or as required by law (for example, insurance or safeguarding record-keeping requirements), after which it is securely deleted or de-identified.
Access, correction and complaints
You can ask us to access or correct personal information we hold about you or your child, or ask us to explain how we've handled it. If you have a concern about how we've handled personal information, please contact us first using the details below so we can try to resolve it. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC).
Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last updated.
